Event Terms and Conditions

A National Arts Integration and STEAM conference (“the Conference”) is an event produced by The Vision Board, LLC (“Company”) and The Institute for Arts Integration and STEAM (“IAS”)(collectively “the Organizer”). By registering for the Conference, or allowing others to register you for the Conference, you agree to these Event Terms and Conditions (also referred to as “terms and conditions”). If you are an individual registering anyone for the Conference, in addition to or other than yourself (the “Primary Registration Contact”), you acknowledge and affirm that you have shared the terms and conditions with all attendees listed on the registration and acknowledge and affirm that all attendees agree to these terms and conditions. Should you not wish to accept the Event Terms and Conditions you should not register for the Conference. Submission of a registration is regarded as affirmation of your acceptance of and agreement to abide by the Event Terms and Conditions.

Organizer is committed to data privacy and protecting your personal information. Information on how Organizer collects, processes, and uses your data is included in the Organizer Privacy Policy which is hereby incorporated into these Terms and Conditions.  Additionally, by submitting your email address during the event registration process, you agree that Organizer and its event partners may send you event-related and promotional information.  A valid email address is required for all registrations.

Organizer uses the personal data you provide in this registration for administering your participation in the Conference.  This may include information about the Conference’s content, event logistics, payment, updates, and additional information related to Organizer’s Conferences and other initiatives.

By registering you agree the Organizer may disclose your personal data to third party service providers engaged by Organizer to assist in the conduct of the event (e.g. hotel, registration provider).  Information you provide when registering for or participating in a Conference managed or co-sponsored by parties other than or in addition to the Organizer may be shared with those parties, and the treatment of such information is further subject to the privacy policies of those parties.  Except as described herein, Organizer will not disclose your personal data to any other third party without your consent except where required to do so by law.

All registrations are final and no refunds will be issued. Attendees using a school purchase order must submit payment via ACH, check, or credit card within thirty (30) days of registering. Due to enhanced security, we prefer ACH/Bank Transfer and Credit Cards for payment of your invoice. Check payments are accepted if notified in advance. All unpaid registrations on your account will be cancelled. Registrations made within thirty (30) days of the Conference require payment to be made at the time of registration.  Attendees with an outstanding balance will not be permitted to attend the Conference. A purchase order is not considered payment.

Organizer will make every effort to accommodate everyone’s needs, within reason. Organizer will make reasonable changes to accommodate attendee needs,  if possible (and based on the number of available seating in each room) until thirty (30) days before the start of the Conference.  Changes to the name listed on a registration may be made up to thirty (30) days before the start of the Conference. A registration name change is never guaranteed, and Organizer reserves the right to deny registration changes for any reason. Organizer is unable to make changes to registrations requested within thirty (30) days of the conference.

We value inclusion and access for all participants and are pleased to provide reasonable accommodations for our events. Please contact [email protected] to make a reasonable accommodation request. Requests must be submitted in writing at least ten days in advance of a conference. Additionally, reserved seating requests for attendees with mobility needs may request reserved seating by visiting the information desk at a conference.

Organizer prohibits discrimination, harassment, and bullying against any person for any reason—for example, because of age, ancestry, color, disability or handicap, national origin, race, religion, gender, sexual or affectional orientation, gender identity, appearance, matriculation, political affiliation, marital status, veteran status, or any other characteristic protected by law.

Organizer is committed to providing a safe, productive, and welcoming environment to all participants, including staff and vendors, at Organizer-related events. Organizer has no tolerance for discrimination, harassment, or bullying in any form at Organizer-related events. Attendees are expected to adhere to these principles and respect the rights of others.

Attendees should immediately report any behavior inconsistent with these principles to onsite event manager. The onsite event manager will be happy to help participants contact venue security or local law enforcement, provide escorts, or take other remedial measures to assist those experiencing harassment to feel safe during the Conference. We value your attendance and are committed with providing all attendees with a rewarding experience free from unlawful discrimination or harassment.

While participating in Conference or other events held or sponsored by Organizer, “social distancing” must be practiced and face coverings worn at all times if required by local government regulations.  Because Covid-19 is extremely contagious and is spread mainly by person-to-person contact, Organizer and Conference facility providers may have put in place additional preventive measures to reduce the spread of Covid-19. However, Organizer cannot guarantee its participants, employees, partners, speakers, volunteers, contractors or others in attendance will not become infected with Covid-19.

In consideration of being allowed to register for, and participate in the Conference, you hereby warrant and represent that you are age 18 or above and freely waive, release from liability, assume all risks, and covenant not to sue The Company, IAS, the Organizer, or its members, employees, board members, agents, speakers, contractors, volunteers, affiliates, successors and assigns, for any claim, cause of action, expense, loss, damage, personal injury, including loss of life, illness, including but not limited to, death, disability, personal injury, illness or any other condition caused by COVID-19, or any personal injury, disability, property damage, property theft or actions of any kind that you may hereafter suffer or sustain before, during, or after the event, unless said claim, cause of action, expense, loss, damage, personal injury, including loss of life, illness, disability, property damage or property theft or actions of any kind is caused by the sole, gross negligence of the Organizer.  This Liability Waiver and Release is specifically binding upon you and your heirs and assigns and is knowingly given.

In the unlikely event of cancellation of a portion of or the entirety of a Conference, Organizer, in its sole discretion may: (i) reschedule the Conference and issue vouchers in lieu of refunds, or (ii) cancel the Conference and issue a partial/full refund, in the Organizer’s sole discretion. All refunds will be for the registration price, and will not include any service fees, credit card processing fees, shipping fees, and other such charges.

If the conference is rescheduled to other dates, your registration(s) will be valid for the new conference dates, or you will have the option for a voucher(s) to be used at another event.

If the Conference is disrupted or cancelled due to factors or causes beyond the control of the Organizer, the Organizer will offer a partial or full refund, or postpone the event, or provide a voucher or a comparable ‘make good’ option, in Organizer’s sole discretion. These factors will be inclusive of, but not limited to, pandemics, natural disasters, federal/state announcements, strikes, delays in production, and other circumstances beyond of the control of the Organizer that results in the disruption or cancellation of the Conference.

Organizer reserves the right to withdraw, replace, add, or substitute presenters, speakers, and other guests without notice. Entry into the conference is at the sole discretion of the Organizer and Organizer reserves the right to refuse entry to anyone for any reason.

Artsintegrationconference.com and artsintegration.com (Organizer’s websites) are the sole authorized source for registering for the Conference. If you obtain your ticket(s)/registration(s) from any other source, the source is unauthorized, you assume the risk these tickets/registrations are counterfeit or reported to be stolen. The Organizer has the right to dishonor ticket(s)/registration(s) reported as stolen or ticket(s)/registration(s) the Organizer determines are counterfeit and to declare them void.  No refunds or vouchers will be provider for tickets or registrations the Organizer determines to be stolen or counterfeit. Conference tickets/registrations cannot be redeemed for cash, credits, or any other benefits.

Organizer uses RegFox, Spiffy, and Stripe as our online registration providers. By registering for the Conference you also agree to their Terms of Use and Privacy Policies.

To comply with data privacy laws, Organizer imposes certain restrictions on the use of photography and other multimedia at its events (e.g. photography, video, audio, online streaming, and all future mediums).  An attendee is permitted to use hand-held cameras and/or smart phones to take photographs and capture digital images for personal, non-commercial use, provided the photography is not disruptive. Any and all such multimedia may not be published, sold, reproduced, transmitted, distributed or otherwise commercially exploited in any manner whatsoever.

The use of video recorders and other recording devices during Conference sessions is strictly prohibited unless expressly authorized by the presenter during the session and with the Organizer’s express written permission.

Organizer may hire professional service providers (photo/video/streaming/audio) to document and display the event experience.  Organizer may also use social media (e.g., Instagram) to: (i) post real-time photos and videos to its social media feeds; and (ii) display select submissions from those feeds on monitors throughout the event venue.  Attendees and sponsors are encouraged to capture their event experiences and post their own social content from the event (text, photos, audio, video, streaming), provided it does not infringe upon the rights of any attendee, sponsor, third party, or Organizer.  Such infringement would include, but is not limited to, defamation or infringement of trademarks, copyright or other intellectual property rights.  In the event an attendee requires a release or permission to protect the rights of a third party, obtaining such a release or permission shall be the sole responsibility of the attendee.

By attending the event, you acknowledge and agree as follows: (a) Organizer may edit and use footage it captures at the event for marketing and promotional activities and for any other lawful purpose in the ordinary course of its business; and (b) due to the prevalence of mobile recording devices in today’s world, Organizer disclaims all liability for the capture of your image in any multimedia format by other attendees at the event. Additionally, you expressly release the Organizer, its affiliates, parent, and their respective agents, employees, licensees, designees, and assigns from and against any and all claims which you have or may have for invasion of privacy, defamation, or any other cause of action arising out of any such use.

The views expressed by any event attendee, speaker, exhibitor, or sponsor are not necessarily those of the Organizer.  All attendees, speakers, exhibitors, and sponsors are solely responsible for the content of all individual or corporation presentations, marketing collateral, and/or advertising.

Organizer reserves the right to change, amend, add or remove any of the above Event Terms and Conditions in its sole discretion and without prior notice. If one or more of the conditions outlined in these Event Terms and Conditions should become invalid, the remaining conditions will continue to be valid and apply. These Event Terms and Conditions apply to all event participants (attendees, speakers, sponsors, exhibitors, volunteers).
